Early Childhood Music School (ECMS) Director
FLSA statue: Non-Exempt, Part-Time 25+ hours/week not to exceed 29

I. Scope:
The Director of the Early Childhood Music School (ECMS) is responsible for the overall operations of the school including recruiting/hiring of teachers, student enrollment, fundraising and financial management, marketing/advertising of school offerings, as well as reporting on all school activities to the ECMS Advisory Board.

II. Relationships:
• The ECMS Director is a member of the Williamsburg United Methodist Church
(WUMC) staff team and will attend weekly church staff meetings as scheduled.
Because ECMS is a ministry of WUMC, the Director is expected to work
collaboratively with the staff team for the overall thriving of the church’s ministry
particularly as it relates to the children and families involved with the ECMS.

• The ECMS Director reports to the WUMC Director of Music Ministries, and WUMC’s
Staff Pastor Parish Relations Committee (SPPRC) has final oversight over the
Director’s performance and employment status.

• The Director of Music Ministries, with input from the ECMS Advisory Board, will
conduct an annual evaluation of the Director’s job performance. The ECMS Advisory
Board, in conversation with the Director of Music Ministries, will make salary
recommendations to SPPRC.

• The ECMS Director manages the Elliot’s Song Coordinator (who works 10 hours per
week) and the ECMS Lead Teacher (also 10 hours per week).

III. Responsibilities:
Direct operations of the ECMS including but not limited to:
Staffing
• Manage recruitment and hiring of staff. Ensure all teachers, assistants, and volunteers have completed Safe Sanctuary training and required background check clearance.
• Construct, update data, print, and compile all payroll documentation which includes pay slips, payroll record, and finalized payroll sheets. Track all staff absences as well as substitute dates and payment invoices.
• Determine all staff compensation levels per class level as well as determine substitutes utilized and pay.
• Occasionally serve as a substitute teacher as needed.

Administration
• Research and build in Excel and MainStreet systems instructional semesters which
include determining potential class needs, classroom/teacher assignments, and semester fees.
• Manage the annual ECMS budget. Create, input, track, and reconcile financial
statements. Collect, deposit, and validate all revenues and donations, and log all
expenditures.
• Enroll new families and students within the MainStreet system
• Ensure student fees are accurate, transmitted, tracked, paid and delinquent accounts pursued.
• Generate all student enrollment forms, student attendance sheets, and teacher class lists.
• Ensure customized learner materials are developed, available to instructors, and
distributed to students at all class levels.
• Plan and pursue fundraising and grant opportunities.
• Design, print, and disseminate all calendars, student/family correspondence, schedule flyers, and welcome letters, as well as donor and benefactor correspondence.
• Prepare documents and updates for the ECMS Advisory Board and attend Board
meetings (5 times per year).

Advertising
• Coordinate and implement marketing information in order to advertise the school and its offerings including print (newsletters, brochures, etc.) and electronic (website, social media, and more) both for prospective students and for general information.
• Maintain the ECMS website and post regular updates.
• Coordinate ECMS participation at community fairs and library events to market school offerings.

IV. Requirements
Core Competencies
o Leadership – ability to lead, motivate, and manage a diverse team, fostering a
positive, cooperative, and productive work environment.
o Teaching – experience in the classroom or in private lessons, preferably in music
education.
o Business acumen – experience with marketing, finance, management, and record
keeping using digital tools including Microsoft Excel, Word, Word, Outlook, as well
as Zoom software. Proven organizational skills and supervisory experience.
o Excellent verbal and written communication skills with the capacity to tailor
messages for perspective families, currently enrolled clients (including young
students and parents), benefactors, teaching staff, ECMS Advisory Board members,
WUCM staff and members.

• Education Requirements
o Bachelor’s degree
o Minimum of 3 years of program management experience
